This letter of recommendation is for Caleb, a young man I have had the pleasure of knowing for the last 20 months. As a professor emeritus, I have come in contact with thousands of college and graduate students. However, Mr. Caleb stands out as a very extraordinary one with his research and teaching capability, personality and what is more, his “academic spirit”.
During his graduate study, he worked as my research assistant first, then as a teaching assistant of our department. Usually it is hard for someone to be good at even either one. However, as his adviser, I was pleased to find thatboth works he did was far exceeding what is called good. For example, unlike most other graduate students who are eager to publish essays and thus fear to take pains to make exhaustive investigation for their research, Mr. Caleb made extensive survey for his in the project sponsored by Science and Tech Commission of “Chicago” municipal government.He searched every possible source of information within his reach and affords for related materials. As far as I know, he has been to Beijing to the National Library of China, Science and Tech Information Center, Tsinghua University s Library and most public libraries of “Chicago”. He searched both in library and on web, which is a totally new approach to us. Neither was Mr. Caleb satisfied with second-hand information only. During the process, he also interviewed with supervisors of some scientific institutes of “Chicago” to obtain first-hand information.
His teaching is equally praiseworthy. I often heard his students said that Mr.Caleb s lectures were interesting and enlightening and they loved to listen to his lectures. In fact, he has his own teaching style.To my knowledge,it is quite western. In other words, he pays more attention to arouse the desire of seeking knowledge among his students instead of maintaining a quiet and rigid lecture atmosphere as most other teachers do.Thus you can imagine his lectures are full of discussions, laughter and eager eyes of learning.
His personality also impressed me so much. I would like to take only one case among numerous ones as example.This summer, I happened to have some thesessent to a professor who lived in another university for his review.It was so urgent that I could not wait even one more moment. Then I got Mr. Caleb to do it. He nodded without even hesitation. It sounds like not a big deal. However, it was scorching outside at noon then and it took him almost 1 hour s bike ride back and forth!
Besides his research, teaching capability and personality,I think I should bring up the overwhelmingly strong point of Mr. Caleb--his academic spirit. Although I know that it is hard to define what is called “academic spirit”, Mr. Caleb does prove it through his independence on his research, innovative perspective and commitment to academic activity. Frankly, I think it is the “academic spirit”that distinguishes him from thousands of college and graduate students I have ever known. With the “academic spirit”, Mr. Caleb is marching steadily towards his career goal--an ideal scholar with time goes by.One more point. Mr. Caleb s English is excellent compared to most college or graduate students I have ever known.For example, “Chicago” municipal govern-ment held “International Friendship Month” and invited many foreigners (including guests from Clevend, U.S.A.) last summer. 索赔信是商务信函的一种,属于专门用途语篇(ESP)范畴,系合同一方因经济损失或精神损失向违约方提出赔偿而发生的商业信函,具有鲜明的语篇结构及词汇特征。
Bahtia(1993)把体裁分析理论应用于对商务信函体裁的研究中,对商务促销信及英文求职信的体裁结构及特征做出了详细分析,提出了关于商务推销信函体裁的独特见解。但是,Bahtia的研究重点在于商务交往初步阶段的自我推销信,而没有涉及商务交往后期阶段信函的研究(黄冬梅,2009)。国内学者如黄冬梅(2009)进行了还盘函的体裁分析;李宣松(1997)也曾探讨了索赔信中的语言策略,但碍于篇幅,没有提供足够多的例证。
该文以40封英文索赔信为语料,运用由Swales(1990)的语步-步骤分析模式,对各封信进行语步切分,分析索赔信的必要性语步、可选语步以及这些语步出现的顺序,总结索赔信的宏观语篇结构;并建构各个语步语料库,运用语料库软件AntConc3.2.2检索各个语步语料库的关键词及相关词汇的索引,分析索赔信体裁特征在语言方面的体现。希望通过研究能对专门用途英语以及商务写作教学起到启示作用。
1 研究设计
1.1 研究目的
本研究旨在说明以下两个问题:
1)英文索赔信宏观结构的各个语步及其功能和顺序;
2)英文索赔信整体以及各个语步的词汇特点。
1.2 语料库的建设
Flowerdew(1998)提出自建小型专门语料库与大型语料库在具体应用中有很大不同,更适于ESP教学。主要是因为小型专门语料库多为外语教师自主设计,为教学服务,所以建库目的明确,语料收集针对性强,含有富有价值的语境信息,有大型语料库所不具有的巨大优势。
该文以英文索赔信为研究对象,自建由40封索赔信组成的小型语料库,语料全部来源于国外网站,全部由英语本族人撰写。该语料库的形符总数为9,787。
1.3 研究工具
本研究采用的语料库检索软件是AntConc3.2.2,该软件主要具有词语检索(Concordance)、生成词表(Word List)和主题词(Keyword List)三大功能。该文以语料为基础的研究部分将主要利用AntConc主题词功能进行语料检索和分析,该工具既能生成正主题词(positive keywords),也能生成负主题词(negative keywords)列表。
1.4 研究方法
该文对英语索赔信的研究将以体裁为基础的研究和以语料为基础的研究相结合。以体裁分析为基础的研究,通过语步分析从宏观方面揭示英文索赔信的语步构成,判断语步的出现顺序,并进一步确定必要性语步和可选择性语步;以语料分析为基础的研究,借助检索工具AntConc软件从微观角度来揭示索赔信整体及各个语步的语言特征。首先对收集到的语篇通过阅读判断各个语步,并按语步将语篇中相关部分拷贝到按语步建立的一个个文档中,即创建语步语料库。接下来通过语料库检索工具分析整个语篇及各个语步的典型词汇模式,观察语言在各语步和语篇整体中使用的异同。
2 结果分析和讨论
2.1 索赔信的语步分析
根据Swales and Bhatia提出的体裁分析理论,体裁是由一系列的语步(move)所组成的。每一个语步都有其特定的功能,都是为了完成该体裁的整体交际目的服务的。对大多数体裁而言,语步要么是必需性的(obligatory move),要么是可选择性的(optional move);它们的顺序可能是固定的或变化的,可能是某个语步被嵌入另一个语步中。语步结构是一种可以根据体裁惯例化或习俗化的程度来进行不同的改变的模型(Swales,1990)。Hasan(1989)也认为可以通过分析语篇的必要成分(obligatory elements)及可选成分(optional elements),各种成分的排序(sequencing)及再现(iteration)来剖析语篇的结构特点。该文对语料库中40封索赔信逐个语篇进行语步分析。现就每一个语步的定义、功能特征以及语料中的具体实例列于表1中。
从表1可以看出英文索赔信有六个语步:Move 1-Introduction,Move 2-Evidence,Move 3-Justification for Compensation,Move 4-Request,Move 5-Hope and Goodwill,Move 6-Closing。通过统计各个语步在语篇中出现的频率可以得出,其中说明写信的目的(M1)、介绍损失情况(M2)、提出索赔(M4)、希望尽快解决问题(M6)属于英文索赔信的必要性语步,Move 3出现的频率也比较高,也可以视为必要性语步。而Move 5出现的频率较低,属于可选择性语步。Hasan(1989)认为在语篇结构中,必要成分对语篇的体裁起着决定性作用。缺乏必要成分,该语篇就不能成为该体裁的具体体现形式。据此可以说明,在索赔信的撰写中,除开头结尾外,说明损失情况、提出索赔要求和阐述索赔理由等内容是必须提供的信息。这一语篇内容结构和英文索赔信的交际目的是相吻合的。
索赔信中各个语步出现的顺序大体上是固定的,如表1所示。只是语步4-Request(提出索赔要求)出现的位置比较灵活,在有的信中并不是在具体说明损失和阐述理由之后,而是开门见山,在开头直接提出索赔要求。例1,This is my request for payment of$75 as compensation for injuries suffered due to the dangerous nature of your product’s packaging.例2,I am writing in regards to a Digital Multimeter(DMM)that I recently purchased by mail-order from your company.Because the DMM only functions partially,I am requesting repairs,another DMM with comparable features,or a refund equal to the purchase price+C.O.D.charges and shipping and handling.另外,通过阅读我们还发现,语步3-Justification for Compensation(阐述赔偿理由)往往嵌套在语步2-Evidence(说明损失的事实)中。总之,索赔信的语步结构的安排都是围绕提出索赔这一交际目的服务的。
2.2 索赔信的词汇特征
本研究语料分析部分主要采用“主题词”的研究方法。所谓“主题词”(keyword),指的是与某一标准(参照语料库)相比,在一定文本中出现频率显著偏高的词。通过观察主题词的选择和分布,解释分布的原因,就可以发现语步和步骤的实现与语言选择是密切相关的。语言的使用是为实现语篇交际目的服务的。
我们利用AntConc主题词提取功能,以索赔信语料库的40个文本作为观察语料,以Brown语料库作为参照语料,得出自建索赔信语料库的主题词表如下。如图1所示,所列词汇在该英文索赔信库中的使用频率明显高于在大型通用语料库中的使用频率,篇幅所限我们只列出关键性最强的几个词。
从这个索赔信语料库的主题词表可以看出商务信函的词汇具有一些独特的特点。如多用I,me,my,your等第一人称和第二人称称谓,反映出索赔是在买卖双方之间产生的,一般由遭受损失的买方依据合同或法律向卖方提出赔偿损失的要求。这和一般的学术文章多采用第三人称是有明显区别的。表达行为的动词中出现频率最高的词有purchase,refund,rebate,return等,说明索赔是由购买的行为而产生,并且提出索赔建议是信的核心内容。
由于语篇中语步的交际目的和功能体现各异,我们进一步按语步将语篇中相关部分拷贝到按语步建立的一个个文档中,即创建各个语步语料库。用上述相同的方法检索语步语料库的主题词表,以观察目的因素和语篇内容结构及语言技巧之间的制约关系。以语步3和4为例,语步3-Justification for Compensation语料库的主题词表中出现频率最高的词包括unacceptable,embarrassed,disappointed,abrasive,dumbfounded等表达消极意义的形容词,这是和该语步表达对所购产品或服务不满意而导致索赔这个交际目的相符合的。语步4-Request语料库的主题词表中位于前列的有refund,compensate,request,return,replace,urge等行为词,说明该语步是要提出索赔诉求的,包括具体的纠正建议。通过以上分析可以得出结论:在关于索赔的信函中词语运用和主题表达之间存在密切联系;由于各个语步的交际目的各不相同,就决定了各个语步中的语言的选择不同。
3 结论
该文利用Swales(1990)的语步-步骤分析模式对40篇英文索赔信进行分析,发现英文索赔信的必要语步是说明写信的目的(M1)、介绍损失情况(M2)、提出索赔(M4)、希望尽快解决问题(M6);在词汇选择上能够充分体现各个语步的交际功能和英文索赔信的核心目的。从整合体裁分析和语料库检索方法对索赔信的语篇结构和语言使用的探讨中,我们可以发现,作为一种社会交往活动,索赔信这种商务体裁有着鲜明的交际目的与特定的内部结构和语言特点。在专门用途英语写作的教学过程中,通过体裁分析帮助二语学习者掌握索赔信的这些语篇结构特点,将有助于他们更有效地学习如何在其宏观框架范围内灵活自由地运用语言,达到自己的商务目的。同时,语料库检索方法可以作为有效手段,通过帮助学生检索相关语步的主题词表,进一步了解索赔信的微观语言特点,学习围绕某一主题选择具有共同语用特征和意义联系的词汇群,有助于提高学生的写作能力。

1. 掌握应聘信的常规写作内容
一般来说,应聘信由介绍个人身份、表明写信意图、交代应聘目的、陈述应聘条件、表达感激之情、表明期待答复等几部分构成。在写作时,首先应介绍个人身份,表明自己的来历,比如真题开头部分的个人介绍交代了应征者的姓名、身份等。接着应表明写信意图,比如后附的参考范文第①句,说明自己要应聘学生志愿者(student volunteer)这个职位。接下来需要陈述应聘目的,说一下自己应聘这个职位的目的和动机,比如范文第②句说明自己是为了提高组织能力(organizational abilities)、沟通能力(communication skills)和增加当众说英语的自信(confidence in speaking English in public)。表明动机后再来说明应聘条件,介绍自己的优势和长处。为了增强说服力,在摆明自身优势时还可结合个人经历,比如范文第三段就举了自己做英语老师的助手帮助组织英语活动的例子。这三部分内容是应聘信最重要的部分,也是高考通常要求考生写作的内容。介绍完这些之后不要忘记表达一下自己的感激之情,比如范文第⑦句,这是应征者要具备的最基本的礼节。上述真题虽没有做出要求,但考生若能写出来,势必会为自己的作文加分。信的最后,可以表明自己期待对方的答复,比如真题的结尾句。如果需要还应提供自己的联系方式——这点高考一般不会要求,大家了解就行。具备上述内容,一封应聘信就算得上完整了。
2. 把握应聘信的写作基调
众所周知,写信应聘必然需要应征者表明自己的诚意,展示自己能做好工作的自信,并拥有感恩之心,因此应聘信应以表示真诚、展现自信和表达感激为基调。以参考范文为例,在表明自己对学生志愿者这个职位的渴望时,应征者用了really来强调自己的诚意,除此之外,还可以使用indeed、to tell you the truth等表示程度的词语。在介绍自己的优势时,范文用了such a good command of ...、successfully等词语来展示自己的自信心。当然,应征者最后也应不忘感激。表达感激之情除了可以使用范文中的I would be grateful if you ...,还可以使用I would be (very) thankful ...等。
3. 了解应聘信的语言规律
应聘信也有自己的语言规律,主要体现在句型表达上。参考范文就使用了多个应聘信特色语句,下面结合范文将一些常用句型总结如下。

不管何种文章都需要过渡性词语来衔接前后文,应聘信自然也是如此。信中使用过渡性词语较多的是在应聘目的和应聘条件的介绍上。当有多个目的需要说明时可以使用first、besides、what's more等过渡性词语,这些词语在介绍应聘条件时也可以使用,比如参考范文中就用了besides来展示自己不同方面的优势。除此之外,还可以用at the same time、in the meanwhile、in addition、also等过渡性词语。
