随着经济全球化、一体化的发展,商业人士不仅要精通商务知识,而且要通晓英语,熟悉计算机网络。作为现代商务交流重要的沟通形式,商务英文电子邮件起着越来越重要的作用。电子邮件译自英文email或e-mail,它表示通过电子通讯系统进行信件的书写、发送和接收。目前,借助互联网络,可以传送声音、图片、图像、文档等多媒体信息,以至于数据库或账目报告等专业化的文件都可以通过电子邮件附件的形式在网上传递。商业人士可以借助先进的网络与客户、商业伙伴以及世界各地的潜在合作者进行交流沟通。据调查,约有88%的互联网用户使用电子邮件,而在商务领域中约有90%的员工通过电子邮件的形式来联系公务。因此规范商务英文电子邮件的书写格式,提高邮件的书写质量,可以减少误解、促进沟通,有助于交易的顺利达成。
一、商务英文电子邮件的特点
1.格式略有不同。传统商务信函主要包括10部分内容:信头、日期、信函编号、信内地址、称呼、事由(主题)、信函正文、结束语、签名及附件。商务英文电子邮件对格式要求比较宽松,一般包括如下内容:地址(包括写信人及收信人电子邮件地址、抄送及密送收信人电子邮件地址)、主题、称呼、文章开头、正文、结束语、签名及附件等。
通过比较,邮件地址的书写较传统信件简单得多,无需填写复杂的邮政地址,只需将相应的邮箱地址填入固定的位置即可;邮件的主题摘要至关重要,需意思明确,体现内容的主旨;邮件一般自动生成日期,如需要加入日期,位置可以在邮件的底部。
2.内容简洁明了。不仅邮件书写格式较简单,而且其撰写风格较传统的信件也稍加随意。一般其内容比较简短,4~7行为佳,一段大多仅由1个~3个句子组成,且段落层次分明;措辞直接,避免客套话和废话,有时加入口语化的语言使信件更加自然、人性化;如所传递的信息内容太长,可以通过附件形式发送。
商务英文电子邮件除了有自己的习惯格式和撰写风格以外,其最大的特点就是通过互联网这一媒介进行传送,传送的速度比传统信函要快,且价格十分低廉,节省了大量人力、物力和财力,实现了无纸化办公,特别适合国际间的交流与沟通。
二、商务英文电子邮件的书写原则
为了达到通过邮件进行有效沟通的目的,有必要了解并掌握商务英文电子邮件的写作原则,在此概括为清楚、简洁、正确、礼貌、完整,简称为“5C”原则。
1.信息清楚(Clarity)。邮件书写避免使用晦涩难懂或容易产生误会的语言,尽量选用简短、熟悉和口语化的词语,清楚地表达写信的目的。
(1)用词要肯定准确,切忌含糊。例:The figures show a significant increase。这里significant语意不明确,可以用具体数字替换,改为:The figures show an increase of 18%。
(2)词语摆放位置要正确。例:He could only reimburse the cost after July 15.此句有歧义,可以理解为only reimburse the cost或only after July 15,可以改为:He could reimburse the cost only after July 15。
2.简明扼要(Conciseness)。所谓简洁,就是指要言简意赅地表达所需表达的意思,同时又无损于信件的完整和礼貌。在书写商务英文邮件时,要简洁明了,使用常见的单词,避免生僻或者拼写复杂的单词;通过去掉不必要的词和转换冗长的句子,保留有效、简洁的事实信息,就可以把最重要的内容传递给对方。
(1)用常用单词替换短语。例如:at this time → now,due to the fact that → because,a draft in the amount of $1000→ a draft for $1000。
(2)将冗长句子和段落进行“瘦身”。现代商业人士喜欢语言精练、一目了然,通常采用please, thank you for, look forward to等常用简单词语来表达意愿。同时可以借助first, second 等序数词,分号、冒号等标点符号或数字序号等对过长的复合句或段落划分层次,做到条理清晰,重点突出。
3.准确无误(Correctness)。邮件在遵循简洁原则的同时,还要保证准确性,这不仅指没有单词、标点、语法等书写错误,更重要的是内容要叙述准确。邮件同于传统书信和其他单证,是业务交往的凭证,代表双方权利义务关系,所以要求提供的材料、事实和数字需准确无误,写作格式规范,正确使用商业术语。
4.礼貌周到(Courtesy)。礼貌的商务邮件不仅应多使用诸如please, you kind require, thank you for 等词语和句式,更重要的是站在对方立场考虑对方的愿望和要求,语气真诚、考虑周全,避免使用冒犯、伤害、贬低的词语。
5.内容完整(Completeness)。邮件的内容力求完整全面,包括提供希望对方做出积极反应的一切信息,或回答来信中所提出的全部问题和要求。邮件是否完整,可以用5W1H来检验,即who,when,where,what,why和how。
熟悉商务英文电子邮件应有的规范和格式,遵循邮件的写作原则,有助于书写一封准确规范的英文邮件,这不仅反应写信人的英语及业务水平,更重要的是可以从中洞悉写信人为人处事的态度和风格,有助于建立良好的商务关系。

6. 合理提示重要信息
不要动不动就用大写字母、粗体斜体、颜色字体、加大字号等手段对一些信息进行提示。合理的提示是必要的,但过多的提示则会让人抓不住重点,影响阅度。
7. 合理利用图片,表格等形式来辅助阐述
对于很多带有技术介绍或讨论性质的邮件,单纯以文字形式很难描述清楚。如果配合图表加以阐述,收件人一定会表扬你的体贴。
8. 不要动不动使用 :) 之类的笑脸字符,在商务信函里面这样显得比较轻佻
Business Email 不是你的情书,所以:)之类的最好慎用。只用在某些你确实需要强调出一定的轻松气氛的场合,比如现在-:)

1. 如果邮件带有附件,应在正文里面提示收件人查看附件
2. 附件文件应按有意义的名字命名,不可用外星人才看懂的文件名
3. 正文中应对附件内容做简要说明,特别是带有多个附件时
4. 附件数目不宜超过4个,数目较多时应打包压缩成一个文件

语言的选择和汉字编码
1. 只在必要的时候才使用英文邮件
英文邮件只是交流的工具,而不是用来炫耀和锻炼英文水平的。如果收件人中有外籍人士,应该使用英文邮件交流;如果收件人是其他国家和地区的华人,也应采用英文交流,由于存在中文编码的问题,你的中文邮件在其他地区可能显示成为乱码天书。
2. 尊重对方的习惯,不主动发起英文邮件
如果对方与你的邮件往来是采用中文,请不要自作聪明的发送英文邮件给他;如果对方发英文邮件给你,也不要老土的`用中文回复。
3. 对于一些信息量丰富或重要的邮件,建议使用中文。你很难保证你的英文表达水平或收件人中某人的英文理解水平存在问题,而影响邮件所涉及问题的解决。
4. 选择便于阅度的字号和字体
中文老实点用宋体或新宋体,英文就用Verdana 或 Arial 字型,字号用五号或10号字即可。这是经研究证明最适合在线阅度的字号和字体。不要用稀奇古怪的字体或斜体,最好不用背景信纸,特别对公务邮件。
结尾签名
每封邮件在结尾都应签名,这样对方可以清楚的知道发件人信息。虽然你的朋友可能从发件人中认出你,但不要为你的朋友设计这样的工作。
1. 签名信息不宜过多
电子邮件消息末尾加上签名档是必要的。签名档可包括姓名、职务、公司、电话、传真、地址等信息,但信息不宜行数过多,一般不超过4行。你只需将一些必要信息放在上面,对方如果需要更详细的信息,自然会与你联系。
引用一个短语作为你的签名的一部分是可行的,比如你的座右铭,或公司的宣传口号。但是要分清收件人对象与场合,切记一定要得体。
2. 不要只用一个签名档
对内、对私、对熟悉的客户等群体的邮件往来,签名档应该进行简化。过于正式的签名档会让与对方显得疏远。你可以在OUTLOOK中设置多个签名档,灵活调用。

after studying this chapter, you will be able to: ? recognize letters of thanks and of sympathy ? use appropriate formats and sentences 感谢信是为了感谢其它企业或者个人对我方的业务支持、协助而写的礼仪信函。与致辞、贺信等等一样,感谢信函的公关功能要比商务内容大得多。
西方的通常做法,逢年过节,或者客户向你或者公司提了建议、善意的批评,或者时机恰当,都会寄出书面的致谢信,向对方的长期合作、支持、甚至正常的订货、付款等业务活动表示感谢。
也正是因此,感谢信函经常与贺信揉到一起写。
如今打电话的确方便,但是如果事件较大、场合正式,打过电话依然需要撰写书面的感谢辞,寄送方式当然可以利用电子邮件。
感谢信的写作格式与一般信函大同小异。
